KIT Hostel Policy

Purpose

This Policy establishes the rules, standards of conduct, and disciplinary framework governing all hostels. The objective is to provide a safe, orderly, and academically supportive living environment for all residents.

Scope

This Policy applies to all students residing in KIT owned or KIT managed hostels, without exception.

Authority

The KIT Administration has full authority to interpret, enforce, and implement this policy. Decisions of the Hostel Warden and KIT Disciplinary Committee shall be final.

Hostel Allotment and Occupancy

  • Priority and Eligibility
    • Priority for hostel accommodation will be given to junior most batches for up-to three years.
    • Within each batch, preference will be based on CGPA in case of merit tie, higher CGPA students shall be given priority.
  • Allocation Based on Distance
    • Hostel seats will be allocated considering the distance between Khanpur (KIT) and the student’s permanent residence.
    • Greater weight will be given to students living farther away from KIT.
    • Hostel allocations are also subject to the bus routes of KIT. Priority given to those students where KIT bus service is unavailable.
  • General Rules
    • Hostel accommodation is granted on a annual basis and is subject to renewal based on student conduct and availability.
    • Rooms are allotted by the Hostel Office. Students may not exchange, transfer, or occupy any room other than the one assigned by the Hostel Office.
    • Hostel accommodation is strictly for currently enrolled students and will not be available to ex-students or alumni.
    • Providing false information in hostel admission form, may result in cancellation of hostel membership and withdrawal of room allotment.

Entry & Exit Timings (from the institute)

  • Residents must observe the official Entry & Exit Timings.
  • For Girls
    • Weekdays and Weekends: Exit 5:00 pm Maximum.
    • Weekdays and Weekends: Entry 7:00 pm Maximum.
  • For Boys
    • Weekdays and Weekends: Exit 6:00 pm Maximum.
    • Weekdays and Weekends: Entry 8:00 pm Maximum
  • Exit permission for girls must be obtained from guardians/parents.
  • Late arrival must be recorded at the hostel gate.
  • Overnight absence from the hostel shall require prior written approval from the Hostel Warden, regardless of whether permission has been obtained from guardian or parent.
  • Entry & Exit timings may be revised as per situations approved by the KIT administration.

Curfew Timings for Girls Hostels

  • Residents must observe the official hostel curfew.
    • (In Spring semester – March-September)Weekdays: 9:30 pm; Weekends and holidays: 10:00 pm
    • (In Fall semester – October-February )Weekdays: 8:30 pm; Weekends and holidays: 9:00 pm
  • Late arrival must be recorded at the hostel gate.
  • Overnight absence from the hostel requires prior written approval from the Hostel Warden.
  • Curfew time could be revised as per situations approved by the KIT administration.

Weekly Transport Facility

  • The institution will arrange a bus service once a week to take hostel students to the local market (subject to availability of vehicles).
  • The schedule and timing of the bus service will be decided by the Hostel Administration and transport office.
  • Students must register in advance with the Warden to avail the facility.
  • All students must adhere to the designated reporting and return times.
  • Any misconduct during the trip may result in suspension of the facility for the semester.

Visitors

    • Opposite gender visitors are not permitted inside hostel rooms under any circumstances.
    • All visitors (Siblings, Parents/Guardians ONLY) must be registered and may only enter designated areas during official visiting hours
    • Overnight guests are strictly prohibited.
    • Day Scholars of KIT are not allowed in the KIT hostels.
    • Visitors are allowed only at designated hours (9:00 AM – 5:00 PM).
  • Approved Visitor Information
    • At the time of admission, each student must submit a form listing family members or guardians who are permitted to visit.
    • The form (annex-1) must include names, relationship to the student, and contact details.
    • Only individuals listed on the approved visitor form will be allowed to meet the student, subject to identity verification.
  • Visitor Verification and Conduct
    • All visitors must provide valid identification at the time of entry.
    • Visitors must follow campus rules and maintain proper conduct during their visit.
    • The institution reserves the right to deny or restrict visits in case of security concerns or violation of rules.

Student Conduct

  • Students shall maintain respectful and appropriate conduct toward fellow residents, staff, and KIT officials.
  • Harassment, assault, intimidation, bullying, abusive language, or physical violence shall not be tolerated.
  • Political activities, unauthorized gatherings, or any unlawful activity within hostel premises are prohibited.

Noise and Order

  • Quiet hours shall be observed from 9:00 pm to 7:00 am.
  • Any activity that disturbs other residents, including loud music, excessive noise, shouting, or gatherings, is prohibited.

Cleanliness and Property

  • Students are responsible for maintaining cleanliness in their rooms and common areas.
  • Room inspection may be conducted at any time by the Hostel Warden.
  • The Hostel Administration reserves the right to inspect rooms and personal belongings at any time, without prior notice, in the interest of safety, discipline, and compliance with hostel rules.
  • KIT property, including furniture and fittings, must not be damaged, altered, or misused.
  • No posters, paint, or writing shall be placed on hostel walls or doors.
  • Any damages to the property will be borne by the residents.

Electrical Safety and Fire Protection

  • The use of heaters, irons, cooking appliances, and any unauthorized electrical equipment in rooms is prohibited.
  • Tampering with electrical wiring, sockets, or safety devices is strictly forbidden.
  • It is mandatory for all residents to participate in safety drills conducted at the hostels by the management.

Prohibited Items

The possession or use of the following is strictly prohibited in hostels:

  • Alcohol, drugs, cigarettes, vapes, or any intoxicants
  • Weapons, sharp instruments or objects which may be used to cause harm
  • Gambling materials
  • Pornographic or obscene material

Mess and Common Facilities

  • Students shall follow the mess rules and timings for meals (breakfast, lunch and/or dinner) as notified from time-to-time.
  • Food wastage and misuse of mess facilities are prohibited.
  • Common areas must be kept clean and used responsibly.

Vacating the Hostel

  • Students must vacate their rooms within 24 hours of completion of examinations, termination, or withdrawal upon written approval from the Warden.
  • All dues must be cleared and property returned in good condition before clearance is issued.

Stay During Public Holidays

  • Intimation Requirement
    • Students intending to stay in the hostel during public holidays must inform the Hostel Office in writing in advance, which request may be approved in writing by the Hostel Office, in its sole discretion.
    • The information must include the duration of stay and an emergency contact number.
    • Approval from Parents or guardians will be required. (Digital forms submission accepted)
  • Operational Conditions
    • During public holidays, hostel facilities including mess may operate with limited staff and services or may remain temporarily unavailable during holidays.
    • Students staying back must strictly follow hostel rules and comply with any special instructions issued for the holiday period.

Disciplinary Actions and Penalties

The following penalties may be imposed for violation of hostel rules:

Fighting or physical violence Expulsion from hostel and disciplinary action
Threatening, harassment, or abusive language Expulsion from hostel and disciplinary action
Bullying or intimidation Disciplinary Committee action
Noise or disturbance after quiet hours Rs. 2,000
Organizing parties or large gatherings (without permission) Rs. 5,000
Use of loud music systems Rs. 1,000
Damage to furniture, doors, windows, or fittings Cost of damage/new plus Rs. 2,000 fine
Writing, posters, or paint on walls Rs. 3,000 plus restoration cost
Breaking or misusing fire safety equipment Rs. 5,000 and disciplinary action
Use of unauthorized electrical appliances Rs. 5,000 and disciplinary action
Cooking in rooms Rs. 3,000 and expulsion from hostel
Tampering with electrical wiring Rs. 10,000
Keeping pets or animals Rs. 5,000
Littering or poor room cleanliness Rs. 2,000

Theft or attempted theft Police case and KIT expulsion
Possession of weapons or sharp objects Immediate expulsion from KIT and police action

Serious or repeated violation affecting safety/security/reputation Hostel expulsion

Right of Appeal

Students may submit a written appeal to the Director General KIT within three working days of any penalty. The decision of the Director General shall be final and binding, and no further appeal shall lie within the institution.
